Executive – Documentation

Purpose of the role

Avoiding delays and cost implications for both Sarjak and Customer by ensuring timely and accurate
export documentation to enhance customer satisfaction, business growth and Brand image of the
organization..

Key Responsibilities and Tasks

  • Obtaining rates from pricing on timely basis and sending payment requisitions via system.
  • Following up for line invoices, checking them thoroughly and report the discrepancies if any to the concerned pricing teammate.
  • Evaluate the possibilities and instances of additional charges related aspects and
    coordinate with concerned customer services teammate for intimating those at
    customers end.
  • Submitting the various requirement documents to accounts and coordinating to see that
    the liner payments are cleared in time.
  • Arranging for Mbl release on time by arranging all the necessary documents such as
    shipping bill first print, surrender letter if applicable)
  • Timely dispatching the original MBL’s to the respective agents and answering to their
    queries.
  • Keeping track of the shipment and obtaining accurate vessel arrival details from the
    shipping line.
  • Responding timely and accurately to the customer service team on matters related to
    shipment progress updates, arrival details and other information that may be required
    by customer.
  • Attending and replying to mails for resolving queries and information requests from
    shippers, carriers, agents and internal departments.
  • Co-ordination with Shippers / customers for their documentation related problems and
    solving the same with amicable solutions.
  •  Ensuring timeliness and accuracy of data provided/entered in to IT systems and MIS
    reports that are applicable for the role.
  • Ensuring timely escalation of matters beyond one’s reach and seeking guidance from
    seniors in the department.
Educational Qualifications and experience 
Minimum: Degree/Diploma in Export Documentation, Any Graduate
Experience: 3 to 5 years
